COACHES' ROOM PRIVACY POLICY

The Coaches' Room is a free football community where coaches, parents, officials and other people involved in football can ask football-related questions and receive responses from Verified Coaches. This policy explains what data we collect, why we collect it, and your rights regarding your personal information.

When you create a Coaches' Room account, we collect:

• • Email address — required for account creation and authentication
• • Username — your public display name in the community
• • Optional first name — never displayed publicly
• • Football involvement profile — e.g. Coach, Parent, Official, and related details such as formats, age groups and coaching interests (shown on your profile only if you choose)
• • Authentication information — email/password, Google, or Apple sign-in

Your email is never shown to other users. Your password is hashed and never stored in plain text. A mobile number is not required for a normal community account.

Questions and replies you post are public community content. The following information is visible to other users:

• • Your username (or "Anonymous Coach" if you choose to post anonymously)
• • The content of your questions and replies
• • The date and time of your posts
• • Helpful votes and reply counts

You can choose to post questions and replies anonymously. Even when posting anonymously, your identity is recorded internally for moderation purposes but never displayed publicly.

We store records of questions you save or follow, and helpful votes you cast. This data is private to you and is never shown to other users. It is used to personalise your experience and notify you of new answers on followed questions.

We store your notification preferences, including:

• • Whether you want to be notified when a Verified Coach answers your question
• • Whether you want to be notified when someone replies to your question
• • For Verified Coaches: assignment and reminder notification preferences
• • Whether you have opted in to mobile push notifications

You can change these preferences at any time in your Profile settings.

If you use the Coaches' Room mobile app and enable push notifications, we collect:

• • Device identifier — a stable identifier to manage your device across push token rotations
• • Push notification token — the APNs token used to deliver push notifications to your device
• • Platform — iOS or Android
• • App version — the version of the app you are running
• • Last seen timestamp — when your device last registered

Push tokens are never shared with other users. When you log out, your device's push token is deactivated. When you delete your account, all device records are permanently removed.

We collect anonymous analytics events to understand how the app is used — for example, how many users view questions, submit questions, or open notifications. We do not record the content of your questions or replies as analytics properties. Analytics data is aggregated and does not identify you personally.

If you apply to become a Verified Coach, we collect additional information for verification, routing, administration and quality control:

• • Real full name — for verification, never displayed publicly
• • Optional mobile number — Admin only, never displayed publicly
• • Optional Instagram / coaching profile link — Admin only, used for verification
• • Coaching qualifications — checked before approval
• • Coaching experience and background — for assessment and routing
• • Formats, age groups and specialist areas — for question routing
• • Bios and application responses — free-text answers about your coaching approach

This information is used for verification, routing, administration and quality control. It is NOT shown publicly.

When a Verified Coach responds to a question, the public response shows only:

• • An anonymous approved football avatar
• • The "Verified Coach" label
• • The coach's qualification (e.g. "UEFA C Diploma")
• • Relevant football descriptors and contextual tags
• • The response text

A Verified Coach's public response never shows:

• • Real name
• • Username
• • Email address
• • Mobile number
• • Instagram or social media profile
• • Club or employer
• • Personal profile or private bio

Your account data is retained for as long as your account is active. When you permanently delete your account:

• • Your personal account data is deleted
• • Your own questions and replies are anonymised — your username is replaced with "Deleted User" but the content remains visible in the community
• • Other users' replies on your questions remain completely intact
• • Your saved and followed content is removed
• • Your device and push notification records are removed
• • For Verified Coaches, your published responses are preserved but your identity is removed — only the anonymous public snapshot (qualification, football avatar, contextual tags) is retained

Limited, non-personal information may be retained where required for legal, accounting or audit purposes. This does not include your personal identity.

• • Access — You can view your profile and account information at any time
• • Update — You can edit your profile information in Profile settings
• • Notification preferences — You can change your notification settings at any time
• • Account deletion — You can permanently delete your account from your Account settings on the website (My Room → My Profile → Account → Delete Account) or from Profile → Delete Account in the mobile app
• • Logout — You can log out at any time, which deactivates your device's push token

You can permanently delete your account at any time, directly from the app or website. You do not need to email support, telephone us or wait for admin approval. When you delete your account, your personal data is permanently removed and your questions and replies are anonymised (your username is replaced with "Deleted User"). Other users' replies on your questions remain intact. This action cannot be undone.
